Privacy Policy

MintGen helps trainers and athletes coordinate coaching between sessions. This policy explains what information we collect, why we use it, when we share it, and the choices available to you.

1. Who operates MintGen and this policy

MintGen is operated under the name MintGen. This policy applies to the MintGen mobile app, website, and related support and communication services (together, the “Services”).

2. Information we collect

The information we collect depends on how you use the Services and whether you participate as a trainer or an athlete.

  • Account and profile information: name, email address, authentication identifiers, trainer or athlete role, practice or business name, time zone, and onboarding or account preferences.
  • Contact and communication information: telephone number, trainer invitations, SMS consent and delivery status, notification preferences, and questions, replies, or other communications exchanged through the Services.
  • Health and wellness information: pain or injury reports, affected body area, ratings, descriptions, changes over time, contributing factors, notes, and body weight. This information may be sensitive personal information.
  • Fitness and coaching information: activities, training schedules, duration and focus, check-in responses, energy and pain categories, progress criteria, coaching notes, feedback, summaries, and related trainer-athlete records.
  • Feedback and support information: feedback type, messages, requested follow-up, and information you send when asking for help.
  • Device and notification information: push notification tokens, installation or permission state, and device manufacturer or model details that you choose to submit with feedback.
  • Usage and diagnostic information: IP address, timestamps, requested routes, session or request identifiers, error names and messages, component stack information, and other technical logs used to operate and troubleshoot the Services.

Trainers and athletes may provide information about one another when creating invitations, assigning activities, recording coaching notes, or replying to check-ins. Information in a linked trainer-athlete workspace can be visible to both parties where the feature is designed for collaboration.

3. How we use information

We use personal information to:

  • create, authenticate, maintain, and secure accounts;
  • deliver training plans, check-ins, feedback, summaries, and other trainer-athlete collaboration features;
  • send invitations, service-related email, SMS messages, and push notifications;
  • provide support, respond to feedback, and communicate about the Services;
  • monitor reliability, diagnose errors, improve performance and usability, and develop features;
  • prevent misuse, protect users and the Services, enforce our terms, and comply with legal obligations.

We do not sell personal information or use it for cross-context behavioural advertising.

4. How we disclose information and our processors

We may disclose information in the following circumstances:

  • Linked trainers and athletes: information is shared within the connected coaching relationship when needed to provide collaborative features.
  • Service providers: providers process information for us to run the Services. Our current providers include Supabase for authentication and database services, Render for hosting, Twilio for SMS delivery, Expo and Apple for push notification delivery, Resend for invitation email, and OpenAI for processing relevant coaching, health, fitness, and message content used in summaries and supported workflows.
  • Legal and safety reasons: we may disclose information when reasonably necessary to comply with law, respond to lawful requests, protect rights and safety, or investigate fraud or security issues.
  • Business changes: information may be transferred as part of a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality protections.

Service providers are permitted to process information only to perform services for us and are expected to protect it. Depending on where you live and where a provider operates, your information may be processed in another province, state, or country and may be subject to local law there.

5. SMS and push notifications

If you provide a telephone number and consent to SMS, MintGen may send service messages such as invitations, check-ins, reminders, and account-related notices. Message frequency varies, and carrier message or data rates may apply. These are service communications, not third-party advertising.

You can opt out of SMS by replying STOP where supported or by contacting us. Reply HELP where supported for assistance. You can manage push notifications in your device settings. Opting out does not prevent you from using other parts of MintGen, but features that depend on a message or notification may not work as intended.

6. How long we retain information

We retain personal information while an account or linked coaching relationship is active and for as long as reasonably necessary to provide the Services, maintain security, resolve disputes, enforce agreements, and satisfy legal obligations. The retention period depends on the type of record, account status, coaching relationship, sensitivity of the information, and applicable requirements.

When information is no longer needed, we delete or de-identify it. Limited copies may remain temporarily in protected backups or technical logs until they expire through our normal retention cycle, unless a longer period is legally required.

7. Account deletion

You can permanently delete your MintGen account from Settings → Privacy & account → Delete account. The app asks you to confirm this irreversible action, deletes your identity and linked records from the active system, and signs you out.

Limited copies may remain temporarily in protected backups or security logs until they expire through their normal retention cycle. We may retain specific records only where needed for security, fraud prevention, dispute resolution, or legal compliance; retained records are not used for ordinary app functionality. You can email MintGen.van@gmail.com if you cannot access the in-app deletion control or need help.

8. Your choices and privacy rights

You can review or update certain account details in the Services, change device notification permissions, opt out of SMS as described above, or contact us to correct information.

Depending on your location, you may also have rights to request access to or a copy of your personal information, correct it, delete it, restrict or object to certain processing, withdraw consent, or appeal a decision about a request. To exercise a right, email MintGen.van@gmail.com. We may verify your identity and will respond as required by applicable law. An authorized agent may submit a request where local law permits.

9. Children’s privacy

MintGen is currently intended only for people age 18 and older. Trainers must not invite a minor or record personal information about a minor in the Services. If you believe information about a minor was provided, please contact us so we can investigate and delete it where required.

10. Security

We use administrative, technical, and organizational safeguards designed to protect personal information, including access controls, authentication protections, encryption in transit, monitoring, and service-provider controls. No method of storage, transmission, or security is completely risk-free, so we cannot guarantee absolute security. Please use a strong, unique password and notify us if you suspect unauthorized account access.

11. Changes to this policy

We may update this policy as MintGen changes. We will post the revised policy here and update the effective date. If a change materially affects how we handle personal information, we will provide additional notice through the Services or by email where appropriate.
